Datamolino alternative · for Xero firms

A Datamolino alternative with line items built in.

ExpenseFlow vs

Datamolino meters capture per account: 100, 250, or 500 documents a month, with line-item extraction reserved for higher-priced plans. ExpenseFlow extracts every line of every document by default, on every plan, drawing on one firm-wide pool of document tokens.

No credit card required. Connect Xero or QuickBooks Online and process your first receipts in minutes.

What changes if you switch
Line-item coding
Every line on every bill, coded against the chart of accounts. Reviewers spot-check rather than re-code.
Deterministic tax coding
Rule-based engine written against HMRC, ATO, IRD, CRA, and IRAS guidance. Same input, same code, every time.
Draft only, never authorises
ExpenseFlow posts to Xero as draft. The bookkeeper is the only one who authorises.

ExpenseFlow vs Datamolino,
sourced and side by side.

Every Datamolino claim below is sourced from Xero or Datamolino's own documentation. We did not summarise from memory.

Feature
ExpenseFlow
Line-item coding
✓ ExpenseFlow
Included on every document, every plan. Lines are coded against the client's Xero chart of accounts by default.
✗ Datamolino limitation
Available, but on separate higher-priced plans; the standard Start, Build, and Grow tiers capture at header level.
↑ datamolino
Volume model
✓ ExpenseFlow
One firm-wide pool of document tokens that grows with every client, so quiet and busy clients offset each other. Overage is per token at published rates, with alerts at 80% and 100% before it applies.
✗ Datamolino limitation
Start covers 100 bills and receipts a month, Build 250, Grow 500, with roughly $0.26 to $0.30 per document beyond the cap (as of July 2026).
↑ datamolino
Tax coding method
✓ ExpenseFlow
Deterministic rules engine written against HMRC, ATO, IRD, CRA, and IRAS guidance. Ambiguity is flagged, not guessed.
Datamolino
Automation rules you define per supplier or folder apply coding and tax defaults during processing.
↑ datamolino
Duplicate detection
✓ ExpenseFlow
Checks before the draft is created, including near-matches across email-in and upload.
Datamolino
Flags duplicate documents during processing so they can be reviewed before export.
↑ datamolino
Posts to Xero as
✓ ExpenseFlow
Draft bill only. Never authorises. You review and approve in Xero.
Datamolino
Exports processed documents to Xero, QuickBooks Online, or FreeAgent once verified.
↑ datamolino
Users and clients
✓ ExpenseFlow
Firm-level account with role-based access and a per-client audit trail. Pricing is per client.
Datamolino
Unlimited users and client folders on every plan; the meter is on documents, not people.
↑ datamolino
Pricing model
✓ ExpenseFlow
Per client, in USD, published up front. 30-day free trial, line items included.
Datamolino
Start $20, Build $35, Grow $65 per month at header level; line-item plans run higher, roughly $45 to $300 depending on tier (as of July 2026).
↑ datamolino
Document language
✓ ExpenseFlow
Any language. Chinese, Malay, Vietnamese, Bahasa, and more. The AI reads what is on the document.
Datamolino
Advertises multi-currency and multi-language document support across its capture.

Datamolino's own pricing page draws the line: line-item extraction sits on separate, higher-priced plans, above the standard header-level tiers.

03 — Why bookkeepers switch

Four reasons,
in their own words.

Drawn from migration conversations with practicing bookkeepers running Xero. The pain on the left, ExpenseFlow's answer on the right.

!
The meter shapes behaviour. When a plan covers 250 documents and the quarter-end pile is 400, someone starts deciding which receipts are worth a capture credit, and the books inherit the gaps.
ExpenseFlow's meter is firm-wide, not per account: every client adds document tokens to one shared pool, so a busy client's month draws on the whole firm's headroom instead of hitting its own cap. Nobody has to ration receipts.
!
Line-item extraction is where Datamolino's pricing steps up: the standard tiers capture headers, and the plans that read every line cost meaningfully more per month.
Line-level extraction and coding is ExpenseFlow's default behaviour, not an upgrade. Multi-line documents draw more tokens because they are more work, but the capability is never behind a plan wall: every line of every document is coded against the client's chart of accounts from the first day.
!
Automation rules are per supplier and per folder, and they are yours to build and maintain. New supplier, new rule; changed layout, broken rule; wrong rule, quietly wrong coding until someone notices.
ExpenseFlow reads each document fresh and applies tax treatment through a deterministic rules engine written against HMRC, ATO, IRD, CRA, and IRAS guidance. Your corrections train per-client preferences without a rule file to garden.
!
Overage pricing lands at the worst time: the months when a client's volume spikes are exactly the months the invoice grows by 30 cents a document.
ExpenseFlow publishes its per-token overage rates up front and warns at 80% and 100% of the firm-wide pool before anything is charged, and quiet clients' unused tokens absorb a spike first. No surprise line, no mid-quarter rationing decision.
04 — Migrating from Datamolino

From Datamolino to ExpenseFlow
in three steps.

There is no data migration. Historical bills stay in Xero. You only change the inbox you forward invoices to going forward.

01

Day one: move one metered client.

Pick the client who keeps blowing through the document cap. Point their supplier invoices and receipts at a unique ExpenseFlow address, map their Xero account once, and let both systems run side by side for the week.

02

Week one: compare the drafts.

ExpenseFlow holds each document in its review queue, line-coded with the source attached, and syncs it to Xero as a draft once approved. Check its line splits and tax treatment against what your Datamolino rules would have produced, and correct anything you disagree with; corrections stick per client.

03

After: retire the rules, keep the history.

Documents already exported by Datamolino stay in Xero with their attachments. Once the drafts pass your spot-checks, point the remaining clients' capture at ExpenseFlow and stop maintaining supplier rules.

05 — Questions before you switch

Questions bookkeepers ask
before they leave Datamolino.

Two things: where line items sit in the pricing, and how coding decisions are made. Datamolino reserves line-item extraction for its higher-priced plans and applies coding through automation rules you define per supplier. ExpenseFlow extracts and codes every line on every document by default, and tax treatment comes from a deterministic rules engine written against HMRC, ATO, IRD, CRA, and IRAS guidance.

As of July 2026, Datamolino's header-level business plans are $20, $35, and $65 per month for 100, 250, and 500 documents, with overage around $0.26 to $0.30 per document and line-item plans priced higher. ExpenseFlow is priced per client in USD after a 30-day free trial: each client adds document tokens to one firm-wide pool, line-item extraction is included on every plan, and overage is per token at published rates with alerts at 80% and 100% before it applies.

Yes. The whole firm works under one account with role-based access (admin, reviewer, viewer), and pricing is per client rather than per seat. Datamolino also offers unlimited users; the difference is that its meter sits on document volume instead.

No. Statement-to-CSV conversion is a genuine Datamolino feature that ExpenseFlow does not offer. ExpenseFlow processes bills, receipts, and statements into coded Xero drafts; if standalone statement conversion is central to your workflow, keep a tool for it.

Backlogs draw on the firm-wide token pool, so a client's 900-document catch-up is absorbed by unused headroom from the rest of the portfolio before anything else happens. You are alerted at 80% and 100% of the pool, and volume beyond it is charged at the published per-token rate rather than forcing a plan jump; every document is still line-coded and queued for your review.

They stay exactly where they are: exported documents live in Xero, QuickBooks, or FreeAgent with their attachments. ExpenseFlow starts from the day you point capture at it; there is no migration of historical data.
