Xero bank reconciliation: how to reconcile in Xero, step by step

How to reconcile in Xero: match, create, and transfer on the Reconcile tab, then bank rules, cash coding, auto reconciliation, and proving the balance.

Bank reconciliation in Xero looks like a single button: a green OK next to each line. The work is knowing when not to press it, which of the other four options fits the line in front of you, and how to prove afterwards that the balance is right. This guide walks through the Reconcile tab in the order a bookkeeper uses it, then the three tools that speed up a high-volume file (bank rules, cash coding, and auto reconciliation), then the report that proves the account agrees to the bank. Every screen label and rule below is taken from Xero’s own help documentation, listed in the Sources section.

How reconciliation works in Xero

Xero keeps two records of every bank account and reconciliation is the act of pairing them [1] :

  • Bank statement lines are what the bank says happened. They arrive through a bank feed or a manual import and appear on the left of the Reconcile tab.
  • Account transactions are what the books say happened: invoices, bills, expense claims, and spend or receive money transactions created in Xero. They appear on the right.

The aim is to match each statement line to an existing transaction, or to create the transaction during reconciliation [1] . Everything else in this guide is a way of doing one of those two things faster or more safely.

To reconcile, a user needs the administrator role or the standard role with bank accounts access [1] .

Before you start

Xero’s own preparation list is short and worth following every time [2] :

  1. Enter the transactions first. Invoices, bills, credit notes, and expense claims for the period should be in Xero before you open the Reconcile tab, so there is something to match against.
  2. Check the opening balance of the bank account.
  3. Check the statement balance in Xero matches the real bank balance. If the imported lines do not add up to what the bank shows, reconciling them will not fix it. See how to record bank statements in Xero for feeds and manual imports.

Reconciling, line by line

On the homepage, the bank account widget shows Reconcile [number] items when lines are waiting. If the account is not on the homepage, go to the Accounting menu and select Bank accounts [2] . You can filter the lines by date or amount range, or search for a specific one.

Accept a suggested match

Xero compares each statement line with unreconciled transactions and offers the one with the most similarities; where several fit, it picks the one with the closest due date [2] . If the suggestion is right, click OK. If it is not, click the link showing the number of other possible matches.

Check the contact and the amount before pressing OK. Two bills for the same amount from different suppliers is the classic wrong match.

Find & Match

When the transaction exists in Xero but is not suggested, click Find & Match next to the line. Xero’s documentation lists what it is for [3] :

  • Finding an unreconciled invoice, bill, credit note, or account transaction by name, invoice number, amount, or reference.
  • Reconciling one statement line against several items, such as a customer paying three invoices in one transfer.
  • Accounting for bank fees taken out of a payment, or a small rounding difference, with an adjustment.
  • Recording a part payment of an invoice or bill.

Select the checkbox for each transaction that makes up the line, then click Reconcile. To see credit notes, tick Show Received Items or Show Spent Items so both directions are listed [3] .

Xero is explicit about what Find & Match is not for: a deposit or prepayment against an invoice or bill that does not exist yet should be recorded as a prepayment, and a payment well above the amount due as an overpayment [3] .

Create

Where nothing exists in Xero for the line, record it from the Create tab as a spend money or receive money transaction: who, what account, and why [2] . Xero may pre-fill this in three ways:

  • A bank rule you have set up. Click OK to accept, View details to edit first, or Don’t apply rule to do something else.
  • Memory, based on similar lines you reconciled before, if the Suggest previous entries checkbox at the bottom of the screen is ticked.
  • A prediction from the statement line details, shown in italics so you can tell it apart from memory [2] .

Create is the option that causes the most damage when misused. If a bill for the payment already exists, creating a spend money transaction leaves the bill unpaid and records the cost twice. When a line looks like a supplier payment, search with Find & Match before you create anything.

Transfer

For money moving between two bank accounts in the same Xero organisation, use the Transfer tab. Create the transfer in one account only; Xero posts the other side, and in the second account you just click OK [2] .

Discuss

If nobody on your side knows what a line is, write a note on the Discuss tab and leave the line unreconciled [2] . A coded guess is worse than an open query.

Three ways to go faster

Bank rules

A bank rule tells Xero how to code lines that meet conditions you set. Create one during reconciliation from Options, then Create bank rule, or from Bank rules in the Accounting menu [4] . Two details matter in practice:

  • Order. Xero applies rules in the order they appear on the Bank rules screen, so the most restrictive rules belong at the top [4] . A broad rule placed first will swallow lines meant for a specific one below it.
  • Characters. Rule conditions and titles can contain only letters and numbers [4] .

Rules suit lines that are the same every time: bank charges, rent, loan repayments, software subscriptions. They are a poor fit for suppliers whose bills should be in the ledger, for the reason given under Create.

Cash coding

Cash coding shows statement lines as a grid, up to 200 at a time, so you can sort them and code many at once [5] . Open the bank account and select the Cash coding tab, tick the lines, fill in the account and tax rate, and click Save & Reconcile Selected.

Because cash coding creates new spend or receive money transactions, Xero’s guidance is to clear these on the Reconcile tab first: sales invoices and bills, credit note refunds, overpayments and prepayments, expense claims, transfers, and any spend or receive money already entered [5] . What is left is safe to code in bulk. Cash coding is not available on the Xero Starter plan, and the user needs the administrator role or the standard role with the cash coding option [5] .

Auto bank reconciliation

Xero now offers automatic reconciliation by JAX, its AI. It is switched on per bank account: open the account, select the Reconcile tab, click Auto-reconcile, and tick Turn on Auto Bank Reconciliation. The subscriber or an administrator can do this [6] . Xero includes it on Standard plans and above and offers it to Lite and Starter organisations through a paid add-on [6] .

Each item JAX reconciles is listed under Review reconciled with a label showing the method used: Rule, Match, Memory, or Prediction. Anything you reconcile yourself is labelled Manual [6] . For a bookkeeper this turns part of the job from doing into reviewing. Build the review into the month-end routine: filter the reconciled list by method, read the Prediction items first, and correct anything wrong. Xero states that JAX learns from corrections [6] .

Proving the balance

An empty Reconcile tab means every imported line has been dealt with. It does not mean the imported lines are complete. A feed that dropped three days, or a manual import that overlapped the feed, leaves the tab empty and the balance wrong.

The proof is the Bank Reconciliation Summary, part of the Bank Reconciliation report pack along with the Bank Statement and Statement Exceptions reports [7] . Run it as at the statement date and read it top to bottom:

Line on the reportWhat it is
Balance in XeroAll bank transactions entered for the account up to the report date
Total Outstanding Payments/ReceiptsEntered in Xero but not yet reconciled
Total Unreconciled Statement LinesImported but not yet reconciled
Statement balance (calculated)The sum of the imported statement lines. It is calculated from what was imported, not taken from the bank
Bank statement ending balanceThe figure you type in from the real bank statement
Calculated balance out byThe difference between the two lines above

Type the real closing balance into Bank statement ending balance. Calculated balance out by should be zero [7] . If it is not, lines are missing, deleted, or duplicated, and the Bank Statement and Statement Exceptions reports in the same pack are where you find them [7] .

Then read the outstanding payments and receipts. Each one should be a real item that had not cleared the bank at the report date. An outstanding payment that is months old is usually a duplicate: entered once by hand and once through Create.

Save the report with the bank statement. That pair is the working paper for the account, covered in workpapers and audit trail.

Problems you will meet

  • A bill shows as unpaid although the client paid it. The bank line was reconciled with Create. Undo that reconciliation and match the line to the bill.
  • One receipt covers several invoices. Use Find & Match and tick each invoice.
  • A receipt is short by the card or bank fee. Use Find & Match and add an adjustment for the fee.
  • The same transfer appears twice. A transfer was created in both accounts. Keep one and match the other side to it.
  • Calculated balance out by is not zero. Compare the Bank Statement report with the real statement, day by day, around the date the difference first appears.

A routine that holds across clients

Reconcile weekly for busy files, so queries go to the client while they still remember the transaction. At month end, run the Bank Reconciliation Summary for every account as at the last day, enter the real balances, and save the reports before starting adjustments. The full sequence is in the month-end close process. If you also run QuickBooks Online clients, the equivalent workflow works differently and is covered in bank reconciliation in QuickBooks Online.

Where ExpenseFlow fits

ExpenseFlow does not reconcile bank accounts, read bank feeds, or match statement lines. Its part comes earlier. Clients send bills and receipts by upload, by forwarding to a per-client email address, or from Google Drive. Each one is read line by line, coded with an account and tax treatment, and held in a review queue until someone approves it. Approved items sync to Xero with the source document attached.

The effect on reconciliation is indirect but real: when the payment reaches the bank feed, the bill is already in Xero, so Xero has a transaction to suggest and the line is an OK instead of a search. Fewer lines get created from the bank feed with no document behind them, which is where most reconciliation queries start.

Questions, answered

Common questions on this guide

How do I reconcile a bank account in Xero?

Open the bank account's Reconcile tab. Imported bank statement lines sit on the left and Xero transactions on the right. For each line, click OK to accept a suggested match, use Find & Match to locate an existing invoice or bill, or use the Create or Transfer tabs to record a new transaction. The account is reconciled when every line is cleared and the Bank Reconciliation Summary agrees to the real bank balance.

What is the difference between Match and Create in Xero?

Match links a bank statement line to a transaction that already exists in Xero, such as a bill or invoice, and marks it as paid. Create records a new spend money or receive money transaction straight from the statement line. Using Create for a payment that already has a bill in Xero leaves the bill showing as unpaid and counts the cost twice.

When should I use cash coding in Xero?

Use cash coding for statement lines that have no existing transaction in Xero, such as bank charges and card purchases, because it creates new spend or receive money transactions in bulk. Xero's guidance is to reconcile invoices, bills, credit note refunds, overpayments, prepayments, expense claims, and transfers on the Reconcile tab first. Cash coding is not available on the Xero Starter plan.

How do I know a Xero bank account is really reconciled?

Run the Bank Reconciliation Summary as at the statement date and enter the balance from the bank under Bank statement ending balance. If Calculated balance out by is zero and you can explain every outstanding payment and receipt, the account is reconciled. An empty Reconcile tab is not proof, because a missing or duplicated statement line never appears there.

What is auto bank reconciliation in Xero?

A setting you turn on per bank account that lets JAX, Xero's AI, reconcile incoming statement lines that meet its high-confidence criteria. It only reviews lines imported after it is turned on. Each item is labelled Rule, Match, Memory, or Prediction on the Reconciled transactions screen so you can review and correct it. Xero includes it on Standard plans and above and sells it as an add-on for lower plans.

Does ExpenseFlow reconcile bank accounts in Xero?

No. ExpenseFlow does not read bank feeds or match statement lines. It captures bills and receipts, codes them, and after approval syncs them to Xero with the source document attached. Because the bill is already in Xero when the payment appears on the bank feed, Xero has something to suggest as a match.
